Job Title: Office Administrator

About Us: Asheville Integrative Psychiatry leads in integrative mental health services. Our holistic approach includes treatments like ketamine-assisted psychotherapy, integrative psychiatry, and nature therapy. Located on 16 acres in Candler, NC, with Mount Pisgah as the backdrop, our facility blends nature with mental health care, promoting healing and wellness.

About the Position: We're seeking an Office Administrator to oversee the administrative functions of our practice. This role involves managing patient billing, scheduling appointments, maintaining patient files, managing vendors, and overseeing some human resources tasks. As the primary point of contact for patients, this role is crucial in embodying our values and mission daily.
Reporting To: Tiffany Sauls, MD (owner), and Stephanie Rice, PMHNP. This position has no supervisory responsibilities.
Schedule:

Half-day on Tuesday; full days on Wednesday, Thursday, and Friday (7:30 AM - 4:00 PM)

Offices are closed on Mondays; practitioners are off-site on Tuesdays

Occasional weekend on-site work for events
Compensation:
-
Hourly rate: $20, based on experience

Essential Duties & Responsibilities:

Manage patient interactions, including inquiries and appointment scheduling.

Utilize EHR software for patient communication and scheduling.

Handle billing and payment monitoring using QuickBooks.

Perform limited HR functions, including file management and new employee onboarding.

Ensure the office is clean, organized, and presents a welcoming environment.

Manage inventory and supply orders, coordinate space usage, and maintain contracts.
Minimum Qualifications:

At least three years of office environment experience, preferably in a medical office.

Proficiency in QuickBooks and Microsoft Office systems, including Word and Excel.

Excellent organizational skills and the ability to manage multiple tasks simultaneously.

Strong interpersonal and customer relations skills.

High School Diploma or equivalent; Certified Medical Assistant or Nursing Assistant preferred.

Physical Demands:

Frequent standing or sitting, including work on a computer.

Ability to navigate outdoor terrains and lift a minimum of 25 pounds.
